Intranet & Website Coordinator
The MiHIN Group “Intranet & Website Coordinator” oversees the creative design, content, continuity of themes, streamlining navigation, and increasing online presence and use for The MiHIN Group’s internal intranet and external websites.
This role will be responsible for the organization, structure, layout, functionality, etc. of The MiHIN Group’s internal Intranet (via Jira). The MiHIN Group has grown and matured, it is increasingly developing work processes, related information, and tools to efficiently and effectively conduct work across our enterprises. We desire our intranet to be the total source of information and access to these tools for our staff across The MiHIN Group.
A critical enterprise need is to make our Intranet a useful vehicle for communications across The MiHIN Group and ensuring that information and internal services are easy to find and use. Consider it our primary communication vehicle of all the great work our colleagues are doing. However, of equal importance, our intranet must-have information on all of our functions and the necessary processes to effectively work in and across our organization. The intranet must be intuitively easy to navigate with a balance of search and push methods. The tools (think forms, templates, etc) must be integrated into the intranet for ease of finding and use including our strategies, critical plans (we call them one-pagers), Human Resources, Training, Purchasing, Ticketing (how we request work and support from other functions), Delegation of Authority and more.
Our external websites are need of an overhaul to better represent our dynamic businesses. We have a number of entities that require differentiated positioning. The incumbent will be the facilitator to determine each company’s positioning and ultimately will lead the refresh or if needed, transformational design on behalf of each entity. It will be critical that the incumbent is able to keep our web presence up to date attracting and informing our diverse constituents in Michigan and across the country.
For external websites, the incumbent must have knowledge of search engine analytics to maximize traffic to websites. In conjunction with our Communications Manager and Social Media Specialist, he/she will oversee all web traffic, analytics, SEO, etc.
This role will be responsible to develop internal and external metrics measuring the effectiveness of our websites and intranet. The incumbent must be able to work proactively across our company’s and functions with ease. While coordinating on behalf of our functions and entities and thereby bring the experience and creativity needed for success the incumbent must recognize his/her internal clients and the need to satisfy their interests. Similarly, our web presence must appeal to the interests and needs of our external constituents, customers, and potential customers.
More about The MiHIN Group: The MiHIN Group consists of Michigan Health Information Network Shared Services (MiHIN), Velatura Public Benefit Corporation, Interoperability Institute, and the USQHIN. We currently have five active websites—one for each organization and one product-specific webpage, all of which will be managed under this role.
Duties and responsibilities
Design and build a robust internal intranet
Monitor and analyze user experience for Internal colleagues using the Intranet
Content management ensuring all information is organized and accessible on the Intranet
Ensure each cross-functional team, department etc. has a clear direction on where their items fit in relation to the overall function and organization of the Intranet
Assess continuous improvements
Manage version control and archive to ensure latest contributions are what is presented
Build functional and easy-to-use websites that meet our varied company objectives
Conceptualizing creative ideas with clients
Conceptualize each department/cross-functional team space with leads
Test websites across browsers, operating systems, and devices
Maintain, configure and troubleshoot servers
Ensure site security by setting up firewalls and login pages as necessary for our intranet and websites
Optimize loading speeds and capacity
Debug pages and fix broken links or images
Update website content and review SEO
Monitor and analyze site performance (e.g traffic, conversions)
Website & Intranet qualifications:
Proven experience with websites and internal intranets or equivalent
Knowledge of web analytics and SEO
Familiarity with web standards
Working knowledge of website management tools
Strong troubleshooting and analytical abilities
Personal & Corporate qualifications:
Ability to work across company and functions drawing out needs and desires
Able to work in teams while also able to work independently with minimal supervision
Energetic and contagious work style; able to be a missionary for best in class intranet and website use
Creative passion and ability to interpret comprehensive concepts into understandable language/design
Able to document processes established for broad use of websites and intranets (including submissions of change requests, etc.)
Attention to detail and outstanding organizational skills
BSc/BA in Computer Science, Design or a related field is preferred
It is not envisioned that this role will have fulltime direct reports, however, it is very likely that the incumbent will have one or more student interns working under them. Importantly, while it is not proposed that this role will have direct reports it is expected that role will have a high influence on numerous individuals who do not report to, however, will support the work as is typical in our matrix organization.
